Terms of Service

Acceptance of terms
By using Fidem ("the Service"), you agree to these Terms of Service. If you do not agree, do not use the Service.
These terms apply to landlords, property managers, and other operators who use Fidem to organize rental application document verification workflows. If you are an applicant submitting documents via a secure upload link, see the Privacy Policy for how your data is handled.
What Fidem provides
Fidem provides a document verification workflow platform. The Service accepts uploaded rental application documents (pay stubs, bank statements, employment letters, government-issued IDs), extracts fields from those documents using optical character recognition (OCR), runs deterministic verification checks, and produces structured verification reports for the reviewing landlord or property manager.
Verification reports describe signals extracted from submitted documents. They are provided to assist landlords and property managers in organizing their review of submitted materials.
What Fidem does not provide
Important limitations of the Service
- Fidem does not provide credit reports, credit scores, or credit history.
- Fidem does not provide background check reports of any kind.
- Fidem does not provide eviction records or rental history.
- Fidem does not produce tenancy recommendations or eligibility determinations.
- Fidem is not a Consumer Reporting Agency under the Fair Credit Reporting Act (FCRA) or similar legislation. Fidem reports must not be used as consumer reports.
- Fidem does not access credit bureaus, financial institutions, government records, or any data source other than the documents submitted by the applicant.
All tenancy decisions are made solely by the landlord or property manager. Fidem bears no responsibility for tenancy decisions made on the basis of, or in connection with, the use of the Service.
Accuracy and OCR limitations
The Service uses optical character recognition (OCR) to extract fields from uploaded documents. OCR extraction is not guaranteed to be accurate or complete. The following limitations apply:
- Extracted values may contain errors due to document quality, image resolution, formatting, or document type variations.
- Verification results based on extracted fields may be incorrect if the underlying extraction is inaccurate.
- The platform may flag documents for manual review when extraction confidence is low or verification checks cannot be completed automatically.
- Operators must apply their own independent judgment when reviewing verification results and should not rely solely on automated outputs.
Fidem makes no guarantee of accuracy, completeness, or reliability for any extracted field or verification finding. Use of the Service is at your own risk.
User responsibilities
By using the Service, you agree to:
- Use the Service only for lawful purposes in connection with rental application review.
- Obtain appropriate, explicit consent from rental applicants before uploading or requesting their documents, in accordance with applicable privacy law. The platform provides an applicant-facing consent mechanism for upload links; however, the operator remains responsible for ensuring lawful processing under applicable law.
- Not use verification results as the sole basis for tenancy decisions without applying your own independent judgment.
- Not represent Fidem verification results as credit reports, background checks, consumer reports, or official verification records.
- Not upload documents belonging to individuals who have not submitted those documents as part of a rental application.
- Maintain the security of your account credentials.
- Comply with applicable fair housing laws, privacy laws, and housing regulations in your jurisdiction.
Landlord decisions are final
Fidem surfaces verification signals from submitted documents. It does not make tenancy decisions, produce eligibility determinations, or recommend that any particular tenancy decision be made.
The landlord or property manager bears full responsibility for all tenancy decisions. Fidem is not liable for tenancy decisions made in connection with the use of this Service, regardless of the content of any verification report.
Acceptable use
You may not use the Service to:
- Process documents without the knowledge or consent of the individuals whose documents are being submitted.
- Represent the Service as a background check, screening, or credit reporting product.
- Make or communicate tenancy decisions to applicants based solely on Fidem verification outputs.
- Circumvent, disable, or interfere with security features of the Service.
- Share your account credentials with unauthorized parties.
- Use the Service in violation of applicable housing laws, fair housing regulations, or privacy law.
Copyright complaints and content removal
If you believe content submitted to or displayed on the Service infringes your copyright, or if you believe content on the Service is otherwise unlawful, abusive, or violates these Terms, notify us at legal@usefidem.com with:
- A description of the copyrighted work or content you believe is being infringed or violates these Terms.
- The specific location of the material on the Service (a URL, application reference, or other identifying detail sufficient for us to locate it).
- Your contact information (name and email address).
- A statement that you have a good-faith belief the use is not authorized, and (for copyright complaints) a statement made under penalty of perjury that the information in the notice is accurate and that you are the copyright owner or authorized to act on the owner's behalf.
We will review reports and remove or disable access to material we determine violates these Terms or applicable law. Because the Service is not a public content-hosting platform — uploaded documents are private, organization-scoped verification materials, not publicly posted user-generated content — most copyright concerns are expected to involve account-level conduct rather than takedown of publicly visible material.
Account and access
You are responsible for maintaining the security of your account and for all activity that occurs under your account. Notify us immediately at legal@usefidem.com if you suspect unauthorized access.
We reserve the right to suspend or terminate accounts that violate these Terms.
Service availability
Fidem is provided on an "as is" and "as available" basis. We do not guarantee uninterrupted availability of the Service. We are not liable for losses caused by temporary unavailability, processing delays, extraction errors, or Service errors.
We reserve the right to modify, suspend, or discontinue the Service at any time with reasonable notice.
Limitation of liability
To the maximum extent permitted by applicable law, Fidem and its operators shall not be liable for any indirect, incidental, special, consequential, or punitive damages arising from the use of or inability to use the Service, including damages arising from extraction errors, inaccurate verification results, or tenancy decisions made in reliance on the Service.
Fidem's total liability for any claim arising from the use of the Service shall not exceed the amount paid by you for the Service in the twelve months preceding the claim.
Billing and refunds
Verification packs are purchased through Stripe. Fidem does not store payment card data. All payment processing is subject to Stripe's terms of service.
Each verification uses one verification credit from your pack. Unused verification credits expire 36 months after the date of purchase; your oldest credits are always used first. If you hold unused credits that have expired, you may contact Fidem Support to request reinstatement — reinstatement is granted at Fidem's discretion and is not guaranteed. Purchased packs are generally non-refundable. If you believe a charge was made in error, contact us at legal@usefidem.com and we will review the request. Refunds are issued at Fidem's discretion or where required by applicable law.
If a refund is issued, or a payment is reversed through a chargeback, unused verification credits are removed from your organization's balance, up to the number of credits included in that purchase. Verification credits already used to complete verifications are not affected and cannot be restored. If a payment dispute is later resolved in Fidem's favor, the removed credits are restored to your balance.
If you wish to dispute a charge, you may also contact your card issuer. Fidem cooperates fully with payment disputes and chargeback processes.
Changes to these terms
We may update these Terms of Service as the Service evolves. Material changes will be communicated to users. Continued use of the Service after an update constitutes acceptance of the revised terms.
